Setting up your Voicemail
Once the system manager has programmed voicemail on your extension, you must set the PIN number and greeting message:-
- Lift handset and you will hear PABX dial tone.
- Dial 9988 and wait for the voicemail system to answer
- Enter # then your extension number followed by the default PIN number 2222
- Follow the instructions as they guide you through changing the PIN number and recording a greeting.
- Once the voicemail is set log out by pressing 9 and then 9 again.
Using Voicemail
If a message has been left on your voicemail box a message waiting tone will be heard instead of PABX dial tone when your handset is lifted. It is a very high pitched interrupted tone. You may choose to make a regular call or check your messages.
Entering your Voicemail
- Lift handset and you will hear the message waiting tone.
- Dial 9988 wait for the voicemail system to answer and press #.
- Enter your extension number followed by your PIN number.
Listening to Messages
Once you have entered your voicemail box you can listen to your messages
- Press 5 to listen to your messages
Options whilst listening
- Press 2 to back up several seconds
- Press 22 to back up to the beginning of the message
- Press 3 to erase the message
- Press 4 to go forward several seconds
- Press 5 to listen to the next message
- Press 7 to save the message
- Press 8 for the time and date the message was left
- Press * to pause or resume the listening to the message
- Press 13 to forward the message to another mailbox
- Press 14 to immediately call the sender
- Press 15 to listen to the previous message
- Press 17 to reply with a message
- Press 18 to adjust the volume
Sending Messages
Once you have entered your voicemail box you can send messages
- To record a message to be sent to a mailbox Press 6
Options during recording
- Press 2 to back up several seconds
- Press 22 to back up to the beginning of the message
- Press 3 to erase the message
- Press * to pause or resume the listening to the message
- Press # to end recording
Address and send the message
- Enter the address (extension number) you wish to receive the message
- To cancel the address Press *
- To erase the message Press * *
- For Addressing Options Press #
- To address by name Press 00
Addressing Options
- Press 1 to return receipt
- Press 4 to mark private
- Press 5 to mark for future delivery
- Press 6 for urgent
- Press * * to erase message
- Press # to send
Managing your Voicemail
To Record or change your greeting
- Press 4 to access your greeting
Greeting Options
- Press 1 to turn on greeting
- Press 2 to turn off greeting
- Press 5 to listen to greeting
- Press 6 to record a new greeting
- Press # to leave unchanged
Options During Recording
- Press 2 to back up several seconds
- Press 22 to back up to the beginning of the message
- Press 3 to erase the message
- Press * to pause or resume the listening to the message
- Press # to end recording
Check Messages Sent
- To check sent messages Press 12 and enter recipients number
Customise Mailbox
- To access customised options Press 16
Customised Options
- Press 2 to change security code
- Press 4 to auto-copy mailbox number
- Press 5 for personal assistance number
- Press 6 for personal distribution list
- Press 7 to listen to future delivery
- Press 8 to record name for mailbox
- Press # for no changes
Future Delivery Messages
- To access future delivery messages Press 193
- Press 5 to listen
- Press 15 to listen to last message
- Press # to return
Exiting Voicemail
- To exit the mailbox Press 9
You now have three options
- To end the session Press 9 again
- To exit the mailbox and make another call Press 0
- To continue using the mailbox Press *
